POLICY AND T&C

These Terms & Conditions govern all bookings made through The Veldt Collection. By making a booking through The Veldt Collection, you acknowledge that you have read, understood, and agreed to these T&Cs. 

1. Our Role

The Veldt Collection acts as a booking agent and facilitator for luxury safari lodges, including Big 5 game lodges. The Lodges provide accommodation, activities, and on-site services and their operators The Veldt Collection is not the owner or operator of the Lodges. 

2. Bookings

Any reservations, confirmations, changes to reservations, and cancellations of rooms or services must be sent in writing by email to The Veldt Collection by the client. The client will be responsible for providing proof of delivery. All bookings are subject to availability and confirmation by the Lodge. A booking is only considered confirmed once the required deposit or full payment has been received and written confirmation has been issued by The Veldt Collection

3. Pricing

Prices are quoted in ZAR / USD. Prices include accommodation and inclusions as specified at the time of booking. Prices exclude items of a personal nature, gratuities, travel insurance, and any extras not expressly stated. The Veldt Collection reserves the right to correct pricing errors before confirmation. 

4. ​Payment Terms

A. Deposits

 A non-refundable deposit of 20–50% of the total booking value is required to secure a reservation, unless otherwise specified by the Lodge. With the balance due payable, latest, 30 days prior to the guests arrival

B. Balance of Payment

The remaining balance must be paid 30 days prior to the arrival date, unless the Lodge’s policy requires earlier payment. Failure to pay the balance by the due date may result in cancellation with applicable cancellation fees.

C. Payments at the Lodge

Any additional expenses incurred at the Lodge (e.g. spa treatments, premium drinks, curios, private activities, laundry) are payable directly to the Lodge upon check-out. Lodges generally accept credit cards, Visa or MasterCard or electronic transfers into our bank account, however, guests are responsible for confirming accepted payment methods prior to arrival.

5. Cancellations and Refunds

Cancellation terms are strictly enforced due to the nature of safari lodge operations. Reservations made with The Veldt Collection that do not have a deposit paid will be cancelled with prior notice to the customer. Client requests to waive or reduce cancellation fees will be taken into consideration. Cancellation decisions are subject to the applicable Lodge policy. The Veldt Collection will assist in facilitating communication between the client and the Lodge. To consider waiving cancellation fees, acceptable proof may be needed. When a confirmed reservation is cancelled, The Veldt Collection is entitled to the following cancellation fees, subject to the applicable provisions of the Consumer Protection Act No. 68 of 2008 (as amended from time to time) and to the extent that said provisions apply. 

The Consumer Protection Act applies only where legally applicable: If a reservation is cancelled, in whole or in part.Cancellation by the Client: Cancellation fees apply based on the date The Veldt Collection receives written notice of cancellation:
- More than 30days prior to arrival: Loss of deposit
- 29 days prior to arrival: 50% of total booking value
- 0–14days prior to arrival / No-show / Early departure: 100% of total       booking value


Note: Cancellation fees may vary depending on the Lodge’s individual policy. Where a Lodge’s policy is stricter, that policy will apply. The Veldt Collection will divide cancellation fee according to contract with lodges.Refunds: Approved refunds will be processed within 7–14 business days after confirmation from the Lodge. Bank charges and currency conversion fees are non-refundable.

6. Amendments

Date changes, name changes, or booking amendments are subject to availability and Lodge approval. Amendment fees may apply and are determined by the Lodge.

7. ​Travel Insurance

All reservations made with The Veldt Collection require travel insurance. 
Cancellation or curtailment
Medical expenses and evacuation
Loss or damage to personal belongings
Veldt is not responsible for losses that could have been covered by insurance.
Must all be covered by travel insurance.

8.Check-In, Check-Out & Lodge Rules

Check-in and check-out times are set by each Lodge. Guests must comply with Lodge rules, safety briefings, and ranger instructions at all times. The Lodge reserves the right to remove guests whose conduct is deemed unsafe or disruptive, with no refund payable.

9.  Wildlife & Safety Disclaimer

Safari activities involve inherent risks due to wildlife and remote locations. By booking through The Veldt Collection, guests acknowledge and accept these risks. The Veldt Collection shall not be liable for injury, loss, damage, or death arising from safari activities, except where required by law.

10. ForceMajeure

The Veldt Collection shall not be held liable for events beyond its control, including but not limited to natural disasters, pandemics, government restrictions, strikes, or Lodge closures. In such cases, refunds or credits will be subject to Lodge policies. Where possible, the Lodge may, at its sole discretion, offer credits or the option to postpone travel in lieu of a refund.

11. Liability

The Veldt Collection acts solely as an intermediary and shall not be liable for the acts, omissions, or negligence of the Lodges or third-party suppliers. Liability is limited to the amount paid to The Veldt Collection for the booking in question..

12. PrivacyPolicy

Personal information is collected solely for the purpose of making and managing bookings and will be handled in accordance with applicable data protection laws.

13. Exclusive Use Policy 

Bookings for exclusive use, in which a single party reserves the entire property, are not subject to the aforementioned restrictions and limitations. Exclusive use reservation cancellations, changes, and/or reductions will be handled individually.

14. Governing Law 

These T&Cs are governed by the laws of South Africa, and any disputes shall be subject to the jurisdiction of South African courts

15. Banking Details 

Electronic payments must be made directly to the bank account indicated below; your individual invoices will also show this bank information. A copy of the payment confirmation or deposit slip, along with the relevant guest information, reservation number, and/or To reconcile the relevant information, The Veldt Collection must receive the invoice number via email.
